MEETWISE PRIVACY POLICY (DETAILED – BETA)

This Privacy Policy (“Policy”) explains how MeetWise Canada Technologies Inc. (“MeetWise,” “we,” “us,” “our”) collects, uses, discloses, transfers, stores, and protects personal information when you access or use our services, including our websites, web applications, mobile applications, and related features (collectively, the “Services”). This Policy applies to meetwiseapp.ca, to meetwiseapp.com and related login experiences (including meetwiseapp.com/login), to admin.meetwiseapp.com where available, and to any other MeetWise-branded page or application that links to this Policy. “Personal information” generally means information about an identifiable individual, alone or combined with other information. By using the Services, you acknowledge that you have read and understood this Policy. If you do not agree, do not use the Services.


The Services are currently offered in a beta stage. Beta means the Services may change frequently, may not be fully tested, and may be updated, modified, added, or discontinued. During beta, we may collect additional diagnostic, reliability, performance, and security information to test, debug, prevent abuse, maintain availability, and improve the Services. Beta status does not reduce your privacy rights. It is provided to help you understand why certain technical logs, telemetry, or support data may be required for safe operation and rapid improvement. We ask users not to submit sensitive personal information through beta feedback channels unless it is necessary for the request.


This Policy does not apply to third-party websites, services, applications, or integrations that we do not own or control, even if they are linked from the Services. If you choose to use third-party services, you may be providing information directly to those third parties, and their privacy policies will govern. We are not responsible for third-party privacy practices, and we encourage you to review the privacy policies of any third-party services you use.


We aim to handle personal information in a manner consistent with applicable Canadian privacy requirements and generally accepted fair information principles. The specific legal requirements that apply can depend on the province/territory, the nature of the information, and how the Services are used. Where we rely on consent, we seek to provide meaningful information about what we collect, why we collect it, how it is used, and what choices you have, so you can decide whether to use the Services.


We collect information in three general ways: information you provide directly, information collected automatically when you use the Services, and limited information received from third parties that help us operate the Services. We seek to limit collection to what is reasonably necessary for the purposes described in this Policy.


Information you provide directly may include account information such as your name, username, email address, authentication credentials, and any optional profile details you choose to add. If you choose to provide a phone number, date of birth, age, or gender, we may process those details for account setup, security, eligibility, or feature functionality where applicable. Information you provide may also include content and communications such as messages, posts, comments, group content, event or meeting details, scheduling information, polls, and other information you submit through the Services. If you contact support or communicate with us, we will process the information you provide in those communications, including message content and attachments, to respond and provide assistance.


When you use the Services, we may automatically collect device, browser, and network information such as device type, hardware model, operating system version, app version, browser type, language, time zone, mobile network information, and related settings. We may collect log information such as IP address, access times, authentication events, pages or screens viewed, actions performed, and the approximate source of traffic. We may also collect performance and diagnostic information such as crash reports, error logs, latency, and other telemetry that helps us understand reliability and improve the Services, which is particularly important during beta. Some information may be stored on your device using local storage mechanisms, caches, or similar technologies to improve performance and user experience.


If you enable certain optional features, we may process additional data. If you enable contacts access, we may process contacts information to help you connect with people you know, to suggest connections, or to support invite and collaboration features. If you enable location, we may process approximate or precise location information depending on your device permissions and the feature you use, including location derived from GPS, Wi-Fi, cell towers, or similar signals. If the Services support QR or scan-to-chat functionality, we may process QR tokens or identifiers and related metadata needed to route you to the correct chat, group, profile, lost-and-found item, or destination, and to protect the Services against misuse.


We may receive limited information from third parties that support operation of the Services. For example, app stores may provide installation and subscription status signals, and service providers may provide delivery or anti-abuse signals. If payments are enabled in the future, payment processing is typically handled by payment providers, and we generally do not store full payment card numbers on our servers; we may receive transaction confirmations and limited billing-related details needed for records and support.


We use personal information to provide, operate, maintain, and improve the Services, including account creation, authentication, access control, and delivery of features such as messaging, groups, community feeds, events, scheduling, and QR experiences. We use information to provide customer support, to respond to inquiries, and to communicate with you about service-related matters such as security notices, confirmations, technical updates, and administrative messages. We use information to monitor and analyze usage trends and performance, to test features and troubleshoot issues, and to improve reliability, particularly during beta. We use information to protect the Services and users, including fraud detection, abuse prevention, security monitoring, and enforcement of our terms and policies. We also use information to comply with legal obligations and to protect our rights and the rights, safety, and security of users and the public. We do not sell your personal information.


We may disclose personal information to service providers that perform services on our behalf, such as cloud hosting, storage, content delivery, communications delivery, analytics, crash reporting, customer support tooling, and security monitoring. These service providers are authorized to process personal information only as needed to provide services to MeetWise, and we take reasonable steps to require appropriate confidentiality and safeguards through contracts and oversight. We may disclose personal information to other users when you choose to share content, send messages, post within communities, or otherwise use social features, subject to your settings and the nature of the community or group. We may disclose personal information for legal and safety reasons if we believe disclosure is reasonably necessary to comply with applicable law or legal process, to respond to lawful requests, to investigate or address security incidents, suspected fraud, or violations of our terms, or to protect the rights, property, and safety of MeetWise, our users, or others. We may disclose personal information as part of a business transaction such as a merger, acquisition, financing, restructuring, or sale of assets, where personal information may be transferred subject to appropriate protections and applicable law. We may share aggregated or de-identified information that cannot reasonably be used to identify you.


We use cookies and similar technologies on our websites and web experiences to support functionality, maintain sessions, enhance security, remember preferences, and understand usage. You can control cookies through your browser settings and may be able to block or delete cookies. If you disable cookies, some features may not function properly.


Where permitted and applicable, we may send you communications such as service announcements, security notices, and administrative messages that are necessary for operation of the Services. If we send marketing communications, we will provide a reasonable method to unsubscribe or opt out, and we will respect opt-out requests as required by applicable law. You may also contact us to manage your communication preferences.


We take reasonable steps to keep personal information accurate and up to date for the purposes for which it is used. You may update certain information through your account settings where available. You may also contact us to request corrections.


We implement administrative, technical, and organizational safeguards designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. Safeguards may include encryption in transit, access controls, least-privilege permissions, monitoring and logging, and secure development practices. No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for using reasonable security practices such as using strong passwords.


We retain personal information only as long as reasonably necessary to fulfill the purposes described in this Policy, including to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, and maintain security. Retention periods vary depending on the type of information and how it is used. During beta, certain logs and diagnostics may be retained for a limited period to support debugging, security analysis, and reliability improvements. We may retain information in backups for limited periods, and deletion from backups may occur on a schedule. Where appropriate, we may de-identify information rather than delete it.


You may request access to, correction of, or deletion of personal information, subject to applicable law and reasonable verification of identity. If you request deletion, we will take reasonable steps to delete or anonymize your personal information, subject to legal and operational requirements such as security, fraud prevention, dispute resolution, and compliance obligations. You may withdraw consent for certain optional processing by changing your device permissions or account settings where available, or by contacting us; however, withdrawing consent may limit your ability to use certain features or the Services.


Our Services may be used by individuals outside Canada, and some of our service providers may process information in other jurisdictions. As a result, personal information may be stored or processed outside Canada and may be subject to the laws of those jurisdictions. We take reasonable steps to require appropriate safeguards for cross-border processing through contracts, policies, and security measures.


If we become aware of a breach of security safeguards involving personal information, we will take reasonable steps to investigate, mitigate, and remediate the incident. Where required, we will provide notifications to affected individuals and relevant authorities. We may also keep records of breaches as required by applicable law.


The Services are not intended for children under 13 or under the minimum age required by law in your jurisdiction without appropriate consent. We do not knowingly collect personal information from children in a manner that would violate applicable law. If you believe a child has provided personal information to us without appropriate consent, contact us and we will take reasonable steps to address the issue.


We may update this Policy from time to time, including as we move from beta to broader availability. When we update this Policy, we will update the Effective Date at the top. If changes are material, we may provide additional notice within the Services or by other means. Your continued use of the Services after an update indicates you understand the updated Policy.


If you have questions, concerns, or requests regarding privacy, please contact our Privacy Officer at meet@meetwiseapp.ca. We may ask you to verify your identity before responding to certain requests. If you have unresolved concerns, you may have the right to contact the Office of the Privacy Commissioner of Canada or a relevant provincial privacy regulator, depending on your circumstances.
