MEETWISE PRIVACY POLICY

This Privacy Policy (“Policy”) explains how MeetWise Canada Technologies Inc. (“MeetWise,” “we,” “us,” or “our”) collects, uses, discloses, transfers, stores, and protects personal information when you access or use our services, including our websites, web applications, mobile applications, workspace features, admin portals, QR-enabled experiences, and related services (collectively, the “Services”).

This Policy applies to meetwiseapp.ca, meetwiseapp.com, related login experiences including meetwiseapp.com/login, admin.meetwiseapp.com where available, and any other MeetWise-branded website, application, page, or service that links to this Policy. “Personal information” generally means information about an identifiable individual, alone or combined with other information. By using the Services, you acknowledge that you have read and understood this Policy. If you do not agree with this Policy, please do not use the Services.

MeetWise may be operated, supported, developed, licensed, or made available through related entities, affiliates, contractors, or service providers, including MeetWise Canada Technologies Inc. in Canada and Computers Infinite in India. Depending on the country, service, platform, contract, workspace, or user relationship, one or more of these entities may be involved in providing, supporting, maintaining, developing, hosting, securing, or improving the Services.

MeetWise Canada Technologies Inc. remains responsible for the MeetWise-branded Services offered through meetwiseapp.ca, meetwiseapp.com, related applications, admin portals, QR-enabled experiences, workspace features, and related services unless another entity is clearly identified as the service provider for a specific territory, agreement, platform, or feature.

Where Computers Infinite or any related entity supports the Services, it may process limited personal information only as reasonably necessary for development, technical support, operations, customer support, security, diagnostics, maintenance, hosting, testing, or service improvement, and subject to appropriate confidentiality, security, and privacy obligations.

The Services are currently offered in a beta stage. Beta means the Services may change frequently, may not be fully tested, and may be updated, modified, expanded, restricted, reset, restructured, suspended, or discontinued at any time. During beta, we may collect additional diagnostic, reliability, performance, security, and support information to test, debug, prevent abuse, maintain availability, and improve the Services. Beta status does not reduce your privacy rights, but it helps users understand that the Services are still being tested and may be changed frequently.

During the beta stage, we may regularly update our database tables, technical structure, data fields, system architecture, feeds, events, meetings, workspace records, logs, and other service data to test new features, improve reliability, fix bugs, prevent abuse, enhance security, and prepare the Services for broader public or commercial release.

These beta-stage changes may result in partial or complete loss, deletion, reset, migration failure, corruption, inaccessibility, or change of certain data, including but not limited to feeds, events, meetings, messages, test content, user preferences, beta records, temporary files, analytics, logs, and feature-related information. Users are advised to remain aware that MeetWise is a beta-stage application and should not rely on the Services as the only place to store important, business-critical, legal, financial, emergency, or irreplaceable information. Users should keep independent copies or backups of any information that is important to them.

To the maximum extent permitted by applicable law, MeetWise will not be liable for any indirect, incidental, special, consequential, exemplary, business, financial, reputational, operational, or other losses arising from beta-stage testing, feature changes, database restructuring, table updates, data resets, data loss, interruption, suspension, or discontinuation of any part of the Services. Nothing in this Policy is intended to limit rights or obligations that cannot be limited under applicable privacy, consumer protection, or other laws.

This Policy does not apply to third-party websites, services, applications, platforms, payment processors, app stores, integrations, or links that we do not own or control, even if they are linked from the Services. If you choose to use third-party services, you may provide information directly to those third parties, and their own privacy policies and terms will apply. We are not responsible for third-party privacy practices and encourage you to review their policies before using them.

We aim to handle personal information in a manner consistent with applicable Canadian privacy requirements and generally accepted fair information principles. The specific legal requirements that apply may depend on the province or territory, the type of information, the nature of the user, and how the Services are used. Where we rely on consent, we seek to provide meaningful information about what we collect, why we collect it, how it is used, who it may be shared with, and what choices you have.

We collect information in three general ways: information you provide directly, information collected automatically when you use the Services, and limited information received from third parties that help us operate the Services. We seek to limit collection to what is reasonably necessary for the purposes described in this Policy.

Information you provide directly may include account information such as your name, username, email address, phone number, authentication details, profile information, optional account details, company or workspace information, support requests, feedback, messages, posts, comments, group content, event details, meeting details, scheduling information, polls, files, attachments, and other content you submit through the Services.

When you use the Services, we may automatically collect device, browser, network, and usage information such as device type, hardware model, operating system version, app version, browser type, language, time zone, mobile network information, IP address, access times, authentication events, pages or screens viewed, actions performed, approximate source of traffic, crash reports, error logs, latency, and similar technical information. Some information may be stored on your device using local storage, caches, cookies, or similar technologies to improve performance and user experience.

If you enable certain optional features, we may process additional data. If you enable contacts access, we may process contacts information to help you connect with people you know, suggest connections, or support invite and collaboration features. If you enable location access, we may process approximate or precise location information depending on your device permissions and the feature you use, including location derived from GPS, Wi-Fi, cell towers, or similar signals. If the Services support QR or scan-to-chat functionality, we may process QR tokens or identifiers and related metadata needed to route you to the correct chat, group, profile, lost-and-found item, or destination, and to protect the Services against misuse.

We may receive limited information from third parties that support operation of the Services. For example, app stores may provide installation and subscription status signals, and service providers may provide delivery, security, diagnostic, anti-abuse, analytics, or support-related signals. If payments are enabled, payment processing may be handled by payment providers, and we generally do not store full payment card numbers on our servers. We may receive transaction confirmations and limited billing-related details needed for records and support.

MeetWise may offer Workspace Mode for organizations, businesses, communities, teams, or other managed groups. In Workspace Mode, a workspace admin or owner may invite, add, manage, or remove workspace users or members. Workspace users may be normal MeetWise users who are also assigned to one or more workspaces.

Depending on the workspace configuration and user role, a workspace admin may be able to manage workspace members, send workspace updates or broadcasts, communicate with members, receive or review member-related workspace activity, manage workspace QR, event, meeting, or communication tools where available, view limited member information needed for workspace operation, and access location information only where location sharing is enabled and permitted.

Members may have limited access inside a workspace. In some workspace designs, members may not be able to see, search, contact, or interact with other members unless the feature is specifically enabled. Workspace information may be visible to the workspace admin, owner, or authorized representatives of the organization that controls the workspace. If you join or accept access to a workspace, you understand that certain information and activity within that workspace may be processed for workspace administration, security, communication, support, and operational purposes.

Location sharing is optional unless it is required for a specific feature that you choose to use. If location sharing is enabled, MeetWise may process approximate or precise location information to support features such as location-based communication, workspace coordination, safety features, event participation, QR-related routing, or other app functions. In Workspace Mode, location information may be shared with the workspace admin only where the location feature is enabled and the user has provided the required device permission or consent. You may disable location permissions through your device settings, but disabling permissions may limit or prevent certain features from working.

We use personal information to provide, operate, maintain, and improve the Services, including account creation, authentication, access control, OTP verification, account security, messaging, groups, community feeds, events, meetings, scheduling, polls, workspace features, QR experiences, customer support, service-related communications, technical updates, administrative messages, diagnostics, beta testing, feature improvement, fraud detection, abuse prevention, security monitoring, enforcement of our terms and policies, legal compliance, and protection of our rights and the rights, safety, and security of users and the public. We do not sell your personal information.

Because MeetWise is in beta, we may collect and use additional diagnostic, reliability, performance, security, and usage information to test features, troubleshoot errors, monitor uptime, improve user experience, and prevent misuse. This may include crash logs, error reports, device information, server logs, database activity logs, usage patterns, failed actions, authentication events, and other technical data. We ask users not to submit sensitive personal information through beta feedback channels unless it is necessary for the request.

We may disclose personal information to service providers that perform services on our behalf, such as cloud hosting, storage, content delivery, communications delivery, OTP delivery, analytics, crash reporting, customer support tooling, security monitoring, database management, and technical infrastructure. These service providers are authorized to process personal information only as needed to provide services to MeetWise, and we take reasonable steps to require appropriate confidentiality and safeguards through contracts and oversight.

We may disclose personal information to related entities, affiliates, contractors, or support providers, including Computers Infinite where applicable, for limited purposes connected with development, maintenance, operations, technical support, security, diagnostics, hosting, testing, customer support, and service improvement. Where such processing occurs, we take reasonable steps to require appropriate confidentiality, security, and privacy safeguards.

We may disclose personal information to other users when you choose to share content, send messages, post within communities, join groups, attend events, participate in meetings, use workspace features, or otherwise interact through the Services, subject to your settings and the nature of the feature, community, group, event, meeting, or workspace.

If you are part of a workspace, certain information may be visible to the workspace admin, owner, or authorized workspace representatives for administration, communication, security, support, and operational purposes. This may include account details, workspace activity, member-related communications, workspace messages, admin-member communication records, QR-related workspace activity, and location information where location sharing is enabled and permitted.

We may disclose personal information for legal and safety reasons if we believe disclosure is reasonably necessary to comply with applicable law or legal process, respond to lawful requests, investigate or address security incidents, suspected fraud, abuse, or violations of our terms, or protect the rights, property, and safety of MeetWise, our users, or others.

We may disclose or transfer personal information as part of a business transaction such as a merger, acquisition, financing, restructuring, or sale of assets, where personal information may be transferred subject to appropriate protections and applicable law. We may also share aggregated or de-identified information that cannot reasonably be used to identify you.

We use cookies and similar technologies on our websites and web experiences to support functionality, maintain sessions, enhance security, remember preferences, and understand usage. You can control cookies through your browser settings and may be able to block or delete cookies. If you disable cookies, some features may not function properly.

We may send service-related communications such as service announcements, security notices, account alerts, confirmations, administrative messages, technical updates, and important service messages that are necessary for operation of the Services. Where permitted, we may also send marketing or promotional communications. If we send marketing communications, we will provide a reasonable method to unsubscribe or opt out, and we will respect opt-out requests as required by applicable law. Some service-related communications may still be necessary even if you opt out of marketing communications.

We take reasonable steps to keep personal information accurate and up to date for the purposes for which it is used. You may update certain information through your account settings where available. You may also contact us to request corrections.

We implement administrative, technical, and organizational safeguards designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, misuse, modification, or destruction. Safeguards may include encryption in transit, access controls, least-privilege permissions, authentication controls, logging, monitoring, secure development practices, backups, and internal security procedures. No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for using reasonable security practices.

We retain personal information only as long as reasonably necessary to fulfill the purposes described in this Policy, including to provide the Services, support beta testing, maintain records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, and improve reliability. Retention periods vary depending on the type of information, the feature used, legal requirements, operational needs, and beta-stage testing requirements.

During beta, certain logs, diagnostics, temporary records, test data, feeds, events, meetings, workspace information, and technical records may be retained, modified, migrated, reset, anonymized, or deleted as part of normal testing and development. Backups may retain information for a limited period, and deletion from backups may occur on a schedule. Where appropriate, we may de-identify or anonymize information rather than delete it.

You may request access to, correction of, or deletion of personal information, subject to applicable law and reasonable verification of identity. If you request deletion, we will take reasonable steps to delete or anonymize your personal information, subject to legal, operational, security, fraud prevention, dispute resolution, backup, and compliance requirements.

You may withdraw consent for certain optional processing by changing your device permissions, account settings, or by contacting us. Withdrawing consent may limit your ability to use certain features or the Services.

MeetWise is a Canadian company, but our Services may be used by individuals outside Canada, and some of our related entities, affiliates, contractors, or service providers may process information in other jurisdictions, including Canada, India, or other countries where MeetWise, Computers Infinite, or our service providers operate. As a result, personal information may be stored or processed outside your province, territory, or country of residence and may be subject to the laws of those jurisdictions. We take reasonable steps to require appropriate safeguards for cross-border processing through contracts, policies, technical controls, and security measures.

If we become aware of a breach of security safeguards involving personal information, we will take reasonable steps to investigate, contain, mitigate, and remediate the incident. Where required by applicable law, we will notify affected individuals, regulators, or other relevant parties. We may also keep records of breaches as required by applicable law.

The Services are not intended for individuals under the age of 16, or under the minimum age required by applicable law in your jurisdiction, unless appropriate parent, guardian, or legal consent has been obtained where required.  If you believe an individual under 16 has provided personal information to us without appropriate consent, please contact us at meet@meetwiseapp.ca and we will take reasonable steps to address the issue.

We may update this Policy from time to time, including as we move from beta to broader availability, add new features, change our database structure, update our Services, introduce workspace features, or modify legal or operational practices. When we update this Policy, we will update the Effective Date or Last Updated date above. If changes are material, we may provide additional notice within the Services or by other reasonable means. Your continued use of the Services after an update indicates that you understand the updated Policy.

If you have questions, concerns, or requests regarding privacy, please contact our Privacy Officer at meet@meetwiseapp.ca. We may ask you to verify your identity before responding to certain requests. If you have unresolved concerns, you may have the right to contact the Office of the Privacy Commissioner of Canada or a relevant provincial privacy regulator, depending on your circumstances
